Namhost has updated the way invoices are issued to better comply with billing and accounting standards.

Instead of generating a standard tax invoice before payment is made, we now issue a Pro Forma Invoice first. Once payment has been received, a Tax Invoice Receipt is then generated and sent to you.

What is a Pro Forma Invoice?

A Pro Forma Invoice is a preliminary document issued before payment is received.

It shows:

  • The products or services being billed for
  • The amount due
  • The payment due date
  • The expected charges for the transaction

A Pro Forma Invoice is intended as a request for payment and a summary of what will be charged for, but it is not the final and official tax invoice document for a completed payment.

What is a Tax Invoice Receipt?

A Tax Invoice Receipt is issued after payment has been successfully received.

It serves as confirmation that:

  • Payment has been made
  • The transaction has been completed
  • A tax-compliant receipt is available for your records

This is the document you should keep for accounting, reconciliation, and tax purposes.

What has changed?

Previously, Namhost generated standard tax invoices upfront.

Now, the process works as follows:

  • A Pro Forma Invoice is generated for any transaction
  • You complete payment
  • Once payment is successful, a Tax Invoice Receipt is issued

Why did Namhost make this change?

This update improves the billing process by making a clearer distinction between:

  • Amounts that are due but not yet paid
  • Transactions that have already been paid and completed

This helps ensure that the documents you receive more accurately reflect the status of your account and payments. It also ensures better compliance with standard billing and accounting practices.

Which document should I use?

Use the Pro Forma Invoice when you need to:

  • See what is due
  • Arrange payment
  • Request internal payment approval

Use the Tax Invoice Receipt when you need:

When will I receive the Tax Invoice Receipt?
